NCS Features

NCS TrackerYou can now quickly and easily view all of your children under attending their NCS hours by using our new NCS Tracker Report, which rounds up the hours. For example, if a child arrives at 9 am and departs at 4.15 pm, the report will be generated on the basis the child was in for 8 hours instead of 7 hours 15 mins. To run the report, you simply select your dates and hit apply. If a child is not meeting their NCS hours, it will show RED with the number of hours they under-attended. If they are meeting the allocated hours, it will show in Green.
NCS AlertsAre you spending hours trying to keep on top of your NCS? You can set alerts in the system to notify you automatically when a child is not meeting their hours. You simply set the number of weeks in the branch settings you want to be notified of, and then the system will calculate each week hours the child attended and minus the number of NCS hours set in their profile. If, for example, you set it for three weeks, if the child under attends their allocated hours for three weeks in a row, you will be notified, meaning you can intervene and speak with the parent saving extra administration for everybody.
NCS CHICK ExpiryDo parents forget to renew their CHICK number for their NCS? Is this creating more administration and parents losing funding? With our new NCS CHICK expiry reminder, both the parents and the service will be notified at a date selected by the service. This means you can set the notification to happen seven days before the CHICK Number is due to expire, or you can set it for 20 days. This reminder will alert parents in time to renew their CHICK Number helping to avoid the loss of any funding. It will also remind services of the expiry and help reduce the administration for all involved.
NCS InvoicingAre you struggling to allocate NCS hours to your invoices? What is important to note is you cannot allocate an average amount each month for children on the NCS scheme. Each invoice should show the specific amount each month. With our new finance tool, all of your schemes automatically appear within your invoice and are deducted from the total amount. If you have four weeks in one month and five in the next month, our system will automatically allocate the right NCS funding for that monthly invoice. If you invoice weekly, then it’s even easier. Each invoice lists the amount of NCS hours, rates and totals allocated. You also have a balance area that will showcase the amount of NCS allocated for a specific child for a specific period of time.
NCS ReportsWe have created a number of different reports that allow you to analyse your attendance and schemes in more detail. We have an NCS Rounded Up hours reports, which shows the daily arrival and departure times and a total for the week. We have a “Live Attendance versus Live Schemes” report, which calculates the total number of hours a child has done for a specific scheme. It will also calculate the total scheme hours and the remaining hours a parent will have to pay, giving a total for each. We have attendance reports which exclude the arr/dep times and give you totals for each day, week, and month.

This time last year we had the same thing, but after doing all the corrections on PIP in relation to non-attendance or incorrect attendance of children, we had to hand back €15,000 of funding to Pobal. I am glad to say that this year we are using Child Paths to record our attendance, and we are fully compliant in all areas. The Pobal inspector which we had told me that Child Paths was the first software she had seen that showed the total attendance of the child both in daily and hourly format, even if they attended numerous rooms during the day. She was very impressed by Child Paths as it showed everything she needed for the inspection. I personally want to thank Robbie for all his help so far. If we were to have another hit like last year of 15K I doubt if we would be able to recover again. It’s a great product and excellent customer care.

We are delighted to be working with Child Paths on their new finance feature. Its great to be able to engage with a company that have such knowledge of the Irish childcare sector and the funding schemes. They’ve built in recurring invoicing whether you charge weekly or monthly and it automatically links in with the childs scheme funding. With the ability to apply bespoke fee types, discount levels and addons it simplifies the whole process of generating invoices. This will be hugely beneficial from Pobal compliance purposes as it shows the funding breakdowns on the parents invoice allowing for all schemes including NCS wrap around hours. The invoices will be automatically available on the families Child Paths account once they have been enabled which means no more letters getting lost at the bottom of school bags and parents can see what their upcoming invoice will be. We are working with Child Paths to be able to generate a csv file for Direct Debit processing.

Love this software!

The Child Paths application has had a significant impact on our service. Our reliance on paper documentation, e.g. attendance sheets, daily records, sleep charts, food records and child observation records, has decreased dramatically.

We no longer need to store large quantities of documents, now we store this information electronically. We have an obligation to work in partnership with parents/guardians, to ensure the best possible outcomes, and we do this through sharing information.

In my opinion, there is no better way to do this than through the Child Paths app.

We had been using Child Paths for a few months before we went completely live to Parents in February 2020 and WOW our staff love using Child Paths. It's easy to navigate and also enables us to ensure we get the best out of each child's learning and also enables us to provide a sense of peace to our Parents/Carers knowing how they are getting on throughout the day. I would highly recommend this app to other Childcare providers.
